LSS 5.6.4: Desktop Preferences

Overview: Allows setting of certain preferences for how the system works, for display of tasks, use of acknowledgement button, and alert for patient waiting.

Location: Footer button on the Desktop when viewing the Task List.

Buttons: Click the Preference footer button on the Desktop to open up the Preferences screen, then click on the Desktop toggle button to set the desk top preferences summarized below.

  • Desktop Default: Sets the type of tasks to be displayed on the desktop.
    • All: All tasks will be displayed, including priority and non-priority task (i.e. priority is set to None).
    • Priority: Only priority tasks will be displayed
  • Use Acknowledge Button
    • Yes: The user must manually click the Acknowledge footer button to acknowledge and remove a forwarded item on the Task List.
    • No: The task will be automatically acknowledged when the Task Detail screen is viewed using the View Detail footer button followed by closing the Task Detail screen by clicking the List footer button to return to the Task List.
  • Provider Indicator of Patient Waiting
    • Header: An alert in red text stating "Patient Waiting" when the patient has been roomed and is waiting.
    • Popup: A popup window appear with the patient's name when the patient has been roomed and is waiting.
    • None: No alert is given for a patient roomed and waiting.

LSS 5.6.4: Account Number

Overview: Account numbers for patient.

Location: Header summary window in upper right corner of the screen in the electronic ambulatory record (EAR)

There are three multi-digit numbers.  The first number is the account number for the outpatient account of the patient.  Each patient will have only one account number for life for all outpatient visits to the clinic.  The second number is the unit number  (medical record number) which is an identification number used by the Medical Records (MRI) module to differentiate patient records. A unit number extends across multiple patient visits and serves as a permanent identifier for the patient's record. You can usually identify patients in Patient fields by entering their unit numbers.

The third number is the EMR (electronic medical record) ID number.

Below the line containing the numbers is the name of site which was the site of the first PPR visit, and which may not be the current facility.

LSS 5.6.4: Favorites List for Covering

Overview: The favorites list under the Cover function allows the quick selection of a group of providers or resources to select to cover for without individually selecting each provider or resource.

Function: Create and manage multiple favorites list in the Cover function to allow for the easy selection of multiple providers and resources to cover for.

Location: Select Cover functionality, opened up with the Select Cover footer button on the Desktop and the Practice Schedules.

Buttons:
Save to Favorites: The easiest way to set up a favorites list is to click the Select Cover footer button to open up the Cover function.  Then clear out your current list by clicking on the Clear footer button to clear the currently selected cover list.  Then, select the Workgroup list by clicking on the Workgroup toggle button or the Provider list by clicking on the Provider toggle button.  Select a provider or resource in the usual fashion, and repeat as many times as needed to create a currently selected cover lsit.  Then, click on the Save to Favorites footer button.  This will bring up a Save As Favorite popup window.  Click on the radio button in front of the "(new favorite here)" selection, which will allow you to type in a name for your favorite list in that space.  Examples would be "Family Practice" or "Internal Medicine".  If you are going to add the provider or resource list to a currently existing favorites list, then click on the radio button in front of that favorites list.  When you have either entered a new list or selected an old list, then click on the OK button in the popup window to save the changes.  This will remove the popup window and save the changes to your favorites list. 

When you are done, click on the OK footer button to save your favorites list.  Go back into the Cover function by selecting Select Cover again to test your favorites list.  Click on the Favorite toggle button to display your list of favorites and then click on that list.  Check the Selected Workgroup and Selected Provider lists to see if your selections have been entered and then press OK.  Be sure you save your changes before making any other changes to the cover list.  Also, when creating or editing a favorites list, clear out the currently covered list.

Remove Favorites: To remove any list from the favorites, click on the Remove Favorites button to bring up a list of favorites in the Remove Favorites popup window.  Click on the radio button in front of any favorite list you wish to remove, then click the OK button in the popup window.

LSS 5.6.4 Cover Selection

Overview: The cover function allows providers and nurses to access charts on other providers Practice Schedule, and is somewhat different in 5.6.4 than from 5.4.

Function: Covering allows nurses to manage the Task List and Practice Schedules for different providers in their workgroup.  Covering allows providers access to other providers Task List and Practice Schedule.  Instances when nurses might cover for multiple providers:
  • Nurses may be rooming and managing patient tasks for more than one provider.
  • Nurses may process eRx Renewal requests for multiple providers.
  • Nurses may be temporarily covering in other departments.
Providers may cover for other providers for multiple reasons:
  • Provider called away and patient seen by another provider.
  • Signing tasks for another provider who is out of the clinic.

Location: The buttons to control the Cover function are located in the footer area on the Desktop and Practice Schedule screens.

Buttons:

Cover Select:  This footer button will allow providers and resources to be added to the covered list or to completely clear the covered list.  Clicking this footer button will call up the Cover Screen to allow the selection of providers to add to the current list being covered.  The currently selected covered list will be displayed in the upper part of the screen, under the Selected Workgroup and Selected Providers Lists.  In the lower part of the screen, there will be with three toggle buttons. Provider, Workgroup, and Favorites, which will display a different list of providers and resources to select from.   The default list for providers is the Provider list, and is a list of all providers in the system.  The Workgroup list is a list of providers and resources in the clinic.  Favorites are the previously selected providers or resources added to the favorites list. 

To find a provider, select the appropriate list, either Workgroups or Providers.  Then, either click on the name if it is currently visible in the list to select that name, or type in the first three letters of the provider's last name.  This will narrow the search to make the correct name visible in the list for selection.

Multiple providers can be selected from the Provider or Workgroup lists.  When the correct providers have been selected and appear in the Selected Providers and Selected Workgroups lists at the top of the screen, click the OK footer button to save the changes.

To deselect any currently selected provider or resource, click on the checkmark in front of their name on the Selected Provider or Selected Workgroup List.  This will remove that provider or resource from the currently covered list.

To clear the entire provider list and remove all the names from the list of providers being covered, click on the Clear footer button in the Select Provider List screen, and then click on the OK footer button.

If you click the Cancel footer button in the Select Provider List screen, you will leave the Select Cover Function without making any changes you have entered.


Cover: This footer button displays the Task List and Practice Schedule items for the currently selected providers on the covered provider list. 

My List: This footer button removes the Task List and Practice Schedule items for the currently selected providers on the covered provider list.  The only items displayed will be for the using provider or for the nurses primary provider.  The currently covered list is not erased, however, and the Task List and Practice Schedule items for the currently covered list can be redisplayed by clicking on the Cover footer button again.

LSS Hints: Refill Medication Detail Screen

This is the screen that is displayed when an eRx Renewal Task is viewed through the Desktop by clicking on the View Detail footer button on the Task List.

At the top left of the screen will be displayed the requested priority of the refill from the pharmacy.

Further down the screen, the details of the refill request are displayed.  In the first column, the details of medication from the EMR are displayed.  The next column displays the details from the prescription filled at the pharmacy.

In the Info column, if there is a balloon displayed, clicking on this will display any message sent with the pharmacy with the electronic refill request.

LSS 5.6.4: Pharmacy Action of Print

Overview: Printing a paper copy of a prescription to be signed manually.

Location: Pharmacy Action Window under Medications in Orders.

Button: Click on the Action field in the Pharmacy Action Window to change the action to Print.  When entering in medications, the choices for the Action field in the pharmacy action window are Call-in, Fax, Transmit, Print, or None.

The Print action is used as an pharmacy action for medications that cannot be transmitted electronically, or for which the patient requests a paper prescription.  Some schedule (schedule II) medications cannot be transmitted electronically at this time, and must be printed out on paper.  This paper copy can then be "wet signed" by the provider and given to the patient.  The prescription will be stored in the patient's EMR as an active prescription.

This will create an active medication in the patients medication list.

LSS 5.6.4: Pharmacy Action of None

Overview:  Setting the action for a prescription to none, to create an active medication entry in the patient's medication list without transmitting or printing a prescription.

Location: Pharmacy Action window under Medications in Orders (AOM).

Button: Click on the Action field in the Pharmacy Action window to set the action for the prescription to None.  When entering in medications, the choices for the Action field in the pharmacy action window are Call-in, Fax, Transmit, Print, or None.

The action of None is used to file the medication into the chart as an active medication but not transmitted to the pharmacy.  This will facilite eRx Renewal requests from the pharmacy in the future.  If an eRx Renewal request matches an active medication, this will create an eRx Renewal task on the Task List (i.e. linked medication).  If the eRx Renewal request matches a reported medication, this will create an eRx Unlinked Med task which will have to be manually processed by first creating an active medication in the patient's EMR to which the refill request can then be linked.
